Retreat Organizers

What is the venue capacity?

The villa comfortably accommodates 16 guests, while our garden can host up to 40 guests. 

How much does it cost to rent the venue?

The pricing varies based on both the month of the year and the number of guests. For accurate pricing details, please reach out to our venue manager.

Can I come and see the spaces?

Absolutely! We’d love to arrange a tour and address any inquiries you may have. Feel free to contact us via phone or WhatsApp at +1 829 972 6343.

How much is the deposit to hold dates?

The deposit is 50% of the venue rental price. Excl. food, transport and extra services. The deposit is 100% refundable up to 90 days before the retreat start date or the option to reschedule to another available date.

What is the cancellation policy?

Cancellations made between 90 – 60 days before the retreat start date receive a 50% refund or the option to reschedule. Cancellations made less dan 60 days before the retreat start date do not receive a refund, but you can reschedule to another available date. For the complete cancellation policy, please contact us.

Do you help promote retreat organizers?

Absolutely! At Kibayo, we value the success of your retreat experience and are committed to promoting our retreat partners. We provide venue content for your use and feature upcoming retreats on our website and social media, using a dedicated hashtag. When you tag us as a collaborator in your posts, we’re happy to share them on our platforms.

Individual Bookings

What is the check-in and check-out time?

Our check-in time starts at 2pm. If you happen to arrive earlier, you’re welcome to enjoy our shared spaces. We provide a convenient self-check-in process, and you’ll receive detailed instructions. Check-out time is at 11 am, we kindly request to respect this time. If you require a late check-out, please get in touch with us ahead of time.

What is the cancellation policy?

Feel free to cancel at no cost up to 7 days before your arrival. However, if you decide to cancel within the last 7 days before your arrival, you’ll be on the hook for the whole reservation cost. And if you don’t show up at all, you’ll also get charged for the total reservation. Just a heads-up, a prepayment equal to the total reservation price will be taken in the 7 days leading up to your arrival.

What forms of payment do you take?

Payment for your reservation is scheduled to be settled 7 days before your arrival, facilitated through a payment link using the TAB app. This payment can be made using a credit card. However, if you don’t possess a credit card, we also provide an alternative option for transferring through a bank account, available for both domestic and European Union transactions.

Do you serve food at Kibayo?

At Kibayo, we do not operate a restaurant or provide food services. However, our guests who rent a room have access to fully equipped indoor and outdoor kitchens to prepare their meals. 

Is Kibayo pet friendly?

While we have a deep affection for pets, we regret to inform you that bringing your own pets is not permitted. 

Can I use the villa for parties?

You’re welcome to enjoy our villa, but we kindly ask that you refrain from hosting parties as it is not intended for such gathers. Please keep in mind that our villa is situated in a peaceful residential area, and we aim to maintain a tranquil atmosphere for the comfort of our neighbors and fellow guests.
